When an application is initially submitted through Facebook or Instagram, Meta also processes information according to its own privacy policy. Once that information is transmitted to RE/MAX Central, our handling of it is governed by this Privacy Policy.

We may use application information to organise recruitment, compare candidates, maintain appropriate records and improve how we recruit agents.

Meeting legal obligations
We may process information where necessary to comply with Maltese or European Union laws, respond to lawful requests or establish, exercise or defend legal claims.
The legal basis is compliance with a legal obligation under Article 6(1)(c) GDPR or, where applicable, our legitimate interests under Article 6(1)(f) GDPR.
Considering you for future opportunities
We will only retain an unsuccessful applicant’s information beyond the standard recruitment period for future opportunities where the applicant has expressly agreed to this.
The legal basis is consent under Article 6(1)(a) GDPR. Consent may be withdrawn at any time by contacting us.
We will not use recruitment information to send unrelated marketing communications without a separate lawful basis.

COMMISSION-BASED CONTRACTOR OPPORTUNITIES
The property-agent opportunities promoted through our recruitment campaigns are commission-based opportunities for self-employed independent contractors.
Information collected during recruitment is used to assess suitability for this contractual relationship. Submitting an application does not create an employment relationship, guarantee an interview or guarantee that a contract will be offered.

AUTOMATED DECISION-MAKING
RE/MAX Central does not make final recruitment decisions solely through automated processing.
Application-form answers may be used to organise or prioritise applications, but final decisions regarding interviews and offers are subject to human review.
We do not use artificial intelligence to make final decisions about an applicant’s suitability.

WHO MAY RECEIVE YOUR INFORMATION
Access to applicant information is limited to people who reasonably need it for recruitment or administration.
We may share information with:
• Authorised RE/MAX Central managers and administrative personnel
• RE/MAX Malta or affiliated entities where reasonably necessary for recruitment, licensing, training or administration
• Meta Platforms when Facebook or Instagram recruitment forms are used
• Website, email, cloud-storage, CRM and IT service providers
• Professional advisers, including legal or accounting advisers
• Public authorities where disclosure is required by law
Service providers may only use information to provide services to us and must apply appropriate security and confidentiality safeguards.
We do not sell applicant information.

INTERNATIONAL DATA TRANSFERS
Some technology providers may process personal data outside Malta or the European Economic Area.
Where personal data is transferred outside the European Economic Area, we take reasonable steps to ensure that an appropriate legal safeguard is used, such as an adequacy decision or European Commission-approved Standard Contractual Clauses.

HOW LONG WE KEEP APPLICANT INFORMATION
For unsuccessful applications, personal data will normally be retained for no longer than six months after the relevant recruitment process concludes.
Information may be retained for longer where:
• You expressly consent to being considered for future opportunities, in which case it may be retained for up to 12 months
• Retention is required by law
• The information is necessary to establish, exercise or defend a legal claim
If you enter into a contractor relationship with RE/MAX Central, relevant information will become part of our contractor and business records and will be retained according to applicable legal, accounting and operational requirements.
Information that is no longer required will be securely deleted or anonymised.
